Privacy Notice for N8N Personal Assistant
Effective date: October 11, 2026
This notice applies only to the private email assistant operated by its account owner. It is separate from the privacy policy for the Olivo Group public website. The assistant is currently being rebuilt and is not processing email while its workflows are paused.
Google data the assistant accesses
When enabled, the assistant accesses the two Gmail accounts authorized by its owner. It reads message headers, sender, subject, timestamps, message/thread identifiers, snippets, and message content as needed to classify, summarize, and display email at the owner's request. It does not send, compose, or reply to email.
How information is used
Email information is used only to classify and summarize messages, apply the owner's mailbox-specific preferences, create review lists, and carry out organization actions requested by the owner. Feedback may create an explicit sender- or notification-type preference. A one-time action is not treated as a permanent rule unless the owner chooses that option.
Processing and service providers
The workflow automation runs on operator-managed n8n infrastructure. Classification is performed by a locally hosted language model on operator-managed infrastructure. The assistant database is PostgreSQL on operator-managed infrastructure. Selected critical alerts, review summaries, and details requested by the owner are sent through the Telegram Bot API to the designated Email Assistant topic in the configured Telegram group. Members who can access that group/topic may see those messages. Google APIs provide Gmail access. These providers process data under their own terms and privacy policies.
Email content is not used for advertising or to train a general-purpose external model. The assistant's database is designed to store message metadata, bounded summaries, preferences, review state, and action history—not full email bodies.
Organization actions and retention
Under the owner's preferences, the assistant may label, archive, mark read/important, or quarantine messages. Quarantined messages are intended to receive the Gmail label AI/Quarantine-90d and be removed from Inbox. A scheduled retention workflow is intended to permanently delete quarantined messages after 90 days; the owner can restore a message before that deadline. This retention workflow is not enabled while the assistant is being rebuilt.
Message-level metadata and action history are retained to support review, deduplication, and preference history. Sender/notification preferences remain until the owner changes or removes them. The final database retention schedule will be documented before the assistant is re-enabled.
Security and control
Google OAuth credentials are stored in n8n's encrypted credential store, not in this website or workflow exports. Access can be revoked from the Google Account's third-party connections page. Gmail-changing actions are intended to be restricted to Telegram identities authorized by the owner. Telegram messages are visible to members of the configured group. The owner can request removal of assistant records by contacting [email protected].
Changes and contact
This notice may be updated when the assistant's processing or retention settings change. For questions about this assistant's use of Google user data, contact [email protected].
